The Opportunity
We are a lean, high-performing team of ~20. We don’t need a traditional "corporate" accountant; we need a systems-driven Finance & Admin leader who loves the challenge of building efficient workflows. You will take full ownership of our back-office "engine," ensuring our finances are audit-ready, our team is paid perfectly, and our government funding is maximized.
Core Responsibilities
1. Financial Systems & Reporting
- Cloud Accounting Mastery: Full-cycle management of Xero (HK) and Freee (Japan). You will ensure real-time accuracy and look for ways to automate data entry.
- Audit & Compliance: Own the annual audit process. You will prepare the schedules, liaise with external auditors, and ensure we are 100% compliant with statutory requirements.
- Cash Flow & Budgeting: Provide the COO with clear monthly reports on cash flow, variance analysis, and budget projections.
2. HR & Payroll Operations
- End-to-End Payroll: Manage the monthly payroll for our 20-person team, including calculations for part-time staff.
- Statutory Compliance: Handle all MPF contributions, employee compensation insurance, and annual tax filings (Employer’s Return) in Hong Kong.
- Employee Lifecycle: Oversee the administrative side of hiring—from drafting employment contracts to onboarding/offboarding logistics.
3. Funding & Administration
- Grant Management: Lead the application and reporting for Hong Kong government funding (e.g., BUD Fund, TVP). You will track expenses to ensure they meet the strict criteria for disbursement.
- Office Operations: Oversee the administrative team (2 staff) to ensure office efficiency. While they focus on the Japan-side of the business, you provide the structure and oversight for their daily outputs.
Who You Are
- Systems Over Bureaucracy: You prefer using technology (APIs, automated reconciliations) over manual spreadsheets.
- Extreme Ownership: You are someone who finds a 1-cent discrepancy in a bank reconciliation and doesn’t stop until it’s solved.
- Qualified Professional: A Degree in Accounting/Finance; a CPA/ACCA is highly preferred to manage our audit requirements.
- The "Small Team" Mindset: You are comfortable being the senior person on the books while also being "hands-on" with the paperwork.
- Language: Business fluency in English and Cantonese. (Japanese is a plus but not required).
